Call for Service:
The term “Call for Service” is synonymous with “dispatched call”.  COPsync, Inc. chose "Call for Service" because we are ultimately “called to serve” our community.   COPsync™ allows for two methods of receiving “Calls for Service”. 

Method 1 – COPsync™ operates stand-alone.  The officer receives their "Call for Service" via radio transmission.  In the COPsync™ Patrol Interface screen, the officer selects and initializes the "Call for Service" screen.  Through the "Call for Service" interface the officer has the ability to document the location and type of call received. COPsync™ automatically records date and time of call.  The system tracks arrival time and all subsequent timestamps associated with the original call. When the call is completed, the officer closes the "Call for Service" screen and returns to the Patrol Interface, which is the “home” screen.

Method 2– COPsync™ encourages each agency to develop an interface between their CAD and COPsync™.  Once these interfaces have been developed, 911 dispatchers will have the ability to assign calls directly to the officer’s "Call for Service" screen.  The 911 dispatcher will have the capability to update and monitor the officer’s activity while the officer is en route and eventually on-scene.  The CAD interface will also link all responding or on-scene officers. The technology automatically records date and time of call received, synced with times recorded by the 911 CAD system.  The software keeps track of arrival time and all subsequent timestamps associated with the officer’s call.

Note: All information recorded in the COPsync™ "Call for Service" interface is logged on the officer’s Daily Activity Report Log.

The "Call for Service" interface gives the officer the capability of recording notes associated with receiving a call.  These notes can be associated to the case number being assigned to all reports generated by the on-scene officers. 

The "Call for Service" is a big time saver for the officer.  From the information captured by the "Call for Service" interface, the officer has the ability to create their offense report, make a custody arrest or issue a citation, without having to re-enter the information.  Information obtained in the "Call for Service" interface is automatically exported into any subsequent reports required by the case being investigated.  The officer has the ability to return to “In-Service” status from the "Call for Service" interface, again with the interface logging In-Service times on the officer’s Daily Activity Log.


Citation Module:

The COPsync™ e-Citation was created to provide a simplified, time saving method of capturing citations real-time in an electronic format.  Capturing this data electronically allows for immediate transmission of the citation data, making it visible to other officers immediately.  If the agency chooses, that data can also go immediately into their existing Court Management systems.  Capturing the data electronically also allows the agency to maintain racial profiling statistics real-time. 

Agency administrators will now have the capability of leveraging traffic stop information to identify areas needing increased traffic enforcement.

Officers using the COPsync™ e-Citation will be able to quickly scan the driver’s license in lieu of typing individual numbers, giving them significantly quicker access to local, county, state and federal databases from their in-car terminal.

When the driver’s license query returns, officers will immediately be alerted to Warrants, BOLOs, and Registered Sex Offender data.  They will also see COPsync™ history on the individual from ALL agencies on the COPsync™ network. COPsync™ history will be the most comprehensive information the officer will receive, showing detailed information about offenses, traffic stops, crashes, and even any motorist assists that the individual has been involved with. 

The e-Citation has a powerful search tool that lets you find any one citation instantly, or assemble a sub-list of citations that have some common element(s) that you define.

The e-Citation has flexible printing options that allow you to print directly, to a printer of your choice,  in the patrol car.



Crash Report Builder:
The COPsync™ Crash Report Builder provides a standardized interface for completing state mandated crash reports. The flexible nature of this interface allows an officer to complete a crash report by collecting crash information in any order that the officer chooses.

Example: An officer on scene may choose to collect information about the people involved, and then collect any vehicle information, or vice-versa.

The Crash Report Builder is an intelligent Electronic Form that ensures officers properly complete and document important details of any crash. The Crash Report Builder allows the officer to diagram the crash scene using COPsync's™ e-Diagram feature.

For State Crash Reporting Bureaus that have electronic submission capabilities, the information is electronically transmitted to the bureau immediately upon completion and agency approval of the report.  All data captured in the completion of a crash report can also be shared real-time with all subscribing COPsync™ agencies and integrated RMS databases.

Incident Report Builder:
The COPsync™ Incident Reporting Module empowers agencies to effectively manage incident data from the moment it is captured in the field. Once the data is captured the Incident Reporting Module compiles and formats the data into a simple, yet logical Incident Report ready for approval. The efficiency that this process creates allows officers to spend less time on shuffling papers and more on patrol.

COPsync’s™ Incident Report was designed specifically for officers in the field. All data is collected on-scene, in real-time with or without internet connectivity. COPsync’s™ easy-to-use interface provides a standardized method for completing Incident Reports.  The flexible nature of this interface allows an officer to complete an Incident Report by collecting information in any order that the officer chooses. Officers have the ability to auto-populate an Incident Report by swiping driver’s licenses and/or querying state and local databases. These functions are embedded in the module to eliminate the need for an officer to leave the Incident Reporting Module. Use of drop downs, check boxes and other intuitive methods make this reporting module the most officer friendly Incident Reporting tool in the industry.

The Incident Reporting Module ensures that officers complete and document important details of an Incident Report properly. The use of prompts within the module can effectively reduce the amount of follow-up investigation while at the same time allowing the on-scene officer to complete his paperwork in 50% or less time.

Once an officer has completed an Incident report and submitted it for approval the information is electronically stored and available real-time to any agency in the COPsync™ network. Once completed and approved all Incident Reports are available for export to any RMS, JMS, CAD, or other destination that an agency desires.

DUI/DWI Offense Module:
COPsync™ offers comprehensive offense reporting modules. One of these modules is a dedicated DUI/DWI reporting process. Information about all people associated with the case (driver, other occupants of the vehicle, witnesses, etc.) can be loaded into the system simply by scanning their driver's licenses. The information obtained from scanning the Driver's Licenses is used to auto-populate not only the DUI/DWI report, but also citations, vehicle tow sheets, jail forms, court required complaints, offense reports, government (local, state, and federal) mandated forms, and more.

The technology used in this module was created from an officer’s perspective.  The completion of DUI/DWI paperwork does not require the officer to follow any specific software completion flow or format.  Officers are able to complete their paperwork in an order and manner suited to the circumstances of the arrest and the procedures set by the agency or the officer’s individual preference.

In most cases today, the officers in the field are spending up to four hours to complete one DUI/DWI arrest, with most of this time being associated with paperwork.  COPsync™ was developed to make this process much more efficient, and easily result in time savings that will cut DUI/DWI processing by at least half, if not more.

Administration Control Module:
COPsync™ was created by Law Enforcement professionals, both sworn officers and administrators.  Leveraging our administration expertise we were able to work closely with the developers/engineers to create processes that are tailored to fit the specific needs of Law Enforcement administrators.  We seek to give them the tools and processes that help them efficiently manage their departments.

The technologies used in COPsync™ were designed to give agency administrators any and all control of the processes of their agencies. They have the ability to manage (and change at any time) the hierarchy of the reporting process in COPsync’s™ Agency Profile. Administrators can run reports at the department level down to division, shift, and individual officer. These reports can be specified by location, crime, incident type, case number, and/or date range.

A report approval process has been built into COPsync™ and is totally managed by settings and profiles established by the agency administrator.  Agency administrators have the ability to grant report review permissions to other Law Enforcement personnel within the same agency, or even to personnel in other agencies on the COPsync™ information sharing network.

Automation technology in the COPsync™ reporting systems automatically capture UCR statistics.  The UCR statistics can be reviewed real-time, for any specified time period.  This automation also gives administrators complete flexibility to establish their UCR reporting guidelines.

License Query Module:
Magnetic strip and 2D-Barcodes have dramatically simplified the process of reading and submitting driver’s license information.  This easy-to-use technology incorporated into COPsync™ provides officers the ability to query Local, County, State, and Federal agency databases directly from their Mobile Data Computer. Once the information has been captured, COPsync™ will simultaneously formulate queries to access information from the National Crime Information Center (NCIC), the appropriate State Crime Information Center (e.g. Texas Crime Information Center), National Sex Offender Registry, Agency RMS, Agency JMS, COPsync™ BOLO Database, COPsync™ Warrant Database, COPsync™ History Database, and any new informational databases as they become available.

COPsync™ captures each query returned from the various databases.  These returns are parsed and compiled into a single comprehensive return.  These returns are displayed in an “easy to read” system standardized format.  The return displayed to the officer will include photos and mug shots when available.

Information entered by the officer is permanently captured by COPsync™ and is now easily accessible for the completion of investigative reports;  including Citations, Offense Reports, State Complaints, Booking Sheets, Vehicle Tow/Inventory Sheets, Crash Reports, DUI/DWI State Forms and/or any Agency/State specific forms . The time saving benefits of not having to re-enter or rewrite this information cannot be understated.  All of the information captured is stored for use in whatever reports the officer needs to generate relating to the incident or offense, and it is permanently stored for sharing with other officers and agencies on the COPsync™ Network.

Location History Module:
COPsync™ now includes the comprehensive Location History module that sets the standard for fast and accurate intelligence and information gathering.

Location History, just as the name implies, allows the officer or analyst to enter a location (a house, building, business, street address, etc.) and see all Law Enforcement Activity related to that location.  The Location History module is automatically linked with the data entry screens used to generate new reports and creates a new location record every time an address is entered into the system.


Patrol Vehicle Instant Messenger Module:
Communication can be the difference between life and death. For real-time communications, COPsync™ offers a secure instant message system for officers to communicate in real-time. The COPsync™ Instant Messenger allows officers to communicate with fellow officers in their agency or any other officer in the COPsync™ network. There are no City, County, or State boundaries limiting officers from communicating on the COPsync™ network.  Critical information can now be obtained from any prior case or Police contact with a specific individual. Here is an example where real-time communication can assist in an investigation:

Example – An officer with Agency ABC conducts a traffic stop.  The driver's name is submitted through COPsync™, and the officer finds that the subject stopped has a history of narcotics arrests with agency DEF.  The overwhelming odor of marijuana leads to a search, but the officer fails to locate any marijuana or other contraband. Via COPsync™ Messenger the officer is able to contact the previous arresting officer with Agency DEF.  That officer remembers the arrest, and advises the officer from Agency ABC that the subject is known to hide his ‘stash’ in the boot of the center console shift stick.  Thanks to COPsync™ instant messenger, the marijuana, and some crack cocaine is discovered IN THE BOOT.

COPsync™ Instant Messenger (COPsync™ IM) also allows broadcast messages to be sent to specific groups or network wide.  Here are two examples of the benefit of broadcast messaging:

Example – ABC Police Chief acquires intelligence that must be immediately broadcasted to his officers in a secure format.  COPsync™ Instant Messenger can rapidly disseminate, in writing, this intelligence to officers or specific divisions within the agency.

Example – ABC Police Department receives a 911 call notifying their agency that a child abduction has just occurred.  The 911 dispatcher obtains pertinent suspect information.  From their CAD console the 911 dispatcher can text message to notify all surrounding officers and agencies in the COPsync™ network.  The officers don’t have to pull over and write the information down.  It is available for future reference, and is now electronically attached to anything related to the incident, including vehicles, suspects, addresses, and CAN EVEN INCLUDE PHOTOS if available.

COPsync™ IM allows conversations to be saved and permanently associated with a case number.  By attaching a case number to a COPsync™ IM conversation, this conversation has now become an official attachment to the original offense report filed.  Investigators, administrators, and prosecutors will now have the ability to review pertinent information related to the case from the  conversations that occurred while a crime was in progress.

COPsync™ IM has been intelligently built to save officers’ time.  In most Instant Messaging systems, a message is sent and if the recipient does not respond, the sender would likely send an email to ensure the information was passed along. This follow-up action is not necessary with COPsync™.  Any COPsync™ IM messages sent will be saved until they can be successfully delivered to the intended recipient.

Offense Reporting:
COPsync™ has been specifically designed to minimize the mountain of paperwork that is plaguing the back office of Law Enforcement agencies.   The COPsync™ Offense Report automates the hand written process, reducing, and almost totally eliminating paperwork related to the manual reporting process.  Not only is the manual paper reporting eliminated, but the need to transcribe written reports into computerized data is eliminated.  The report is done in the field and submitted from the field, and goes right to the database.  No transcribing steps are necessary.  With many drop down boxes making data entry easier and faster, officers are more efficient and more productive, spending less time on administrative tasks, and increasing the amount of time they spend protecting and serving the citizens in their communities.

Another valuable feature of COPsync’s™ automated report writing is the availability of the information captured in the report. The product's unique data entry approach enables real-time access by any officer. Having fast and easy access to the case’s information enhances efficiency as the case moves through the adjudication process. It also makes the information extremely valuable to future investigations. The report in computerized form also allows integration with existing CAD, RMS, and JMS systems.


Public Service Module:
COPsync™ has a flexible interface called "Public Service" which allows an officer to give service to the public that is not necessarily associated with a specific call.

The Public Service Module gives the officer the capability of recording notes associated with a situation in which they were involved in.  These notes can be associated to the case number being assigned to all reports generated by the on-scene officers.

The Public Service is a big time saver for the officer.  From the information captured by the Public Service interface, the officer has the ability to create an offense report, make a custody arrest, or issue a citation without having to re-enter the information.  Information obtained in the Public Service interface is automatically exported into any subsequent reports required by the case being investigated.  The officer has the ability to return to "In-Service" status from the Public Service interface, again with the interface logging In-Service times on the officer's Daily Activity Log.


Law Reference Module:
One of the most appreciated and celebrated modules within COPsync™ is the Law Reference Library.  It houses a complete set of state-specific statutes and traffic laws, with enhanced and simplified query capabilities.  It eliminates the need to carry numerous bulky reference books that always seem to wind up in the trunk of the patrol car when they are most needed.

Officers are frequently asked by citizens about certain laws; even as simple as what type of restraint their child is required to have.  The Law Reference dramatically simplifies finding these answers.  In fact, anything found in the Law Reference can be "book marked" for quick retrieval at a later time.

Utilizing the COPsync™ Law Reference Library, officer’s on the system will now have the ability to review other State Laws, to include all 50 U.S. States.


Registration Query Module:
COPsync’s™ vehicle registration check provides officers the ability to query Local, State, and Agency databases by entering a vehicle license plate or vehicle identification number (VIN) using their Mobile Data Computer. COPsync™ will simultaneously formulate queries to access information from the National Crime Information Center (NCIC), the appropriate State Crime Information Center (e.g. Texas Crime Information Center), National Sex Offender Registry, Agency RMS, Agency JMS, Vehicle Manufacturer Databases, COPsync™ BOLO Database, COPsync™ Warrant Database, COPsync™ History Database, and any new informational databases as they become available. 

COPsync™ captures each of these queries returned from the various databases.  These returns are parsed and compiled into a single comprehensive return that is easy to read on the COPsync™ screen in a standardized familiar format.  

The information returned from these queries is permanently captured by COPsync™ and is easily accessible for the completion of investigative reports that include Citations, Offense Reports, State Complaints, Booking Sheets, Vehicle Tow/Inventory Sheets, Crash Reports, DUI/DWI State Forms and/or any Agency/State specific forms . The time saving benefits of not having to re-enter or rewrite this information cannot be understated.  In addition, where many vehicle queries only return ownership, make, and model information, COPsync™ shows every activity or incident that the vehicle has been involved with, including warnings and motorists assists by officers.  COPsync™ stores registration checks even when a traffic stop did not occur.  The value of capturing this much vehicle data cannot be stressed enough.  It provides points of data and intelligence related to that vehicle that indicate where the vehicle was encountered and when those events occurred.

All permanently stored information being utilized in the completion of the officer’s report is available at the time of original reporting and for any subsequent reports and queries related to the vehicle.


Supplemental Report Module:
COPsync, Inc. has developed an intuitive supplemental report module which automatically associates any new information or evidence with an existing case.  This powerful tool also allows for officers on the scene of an incident to create reports associated to the incident. This capability allows for the reporting officer to spread the work load amongst several officers, improving the efficiency of the Law Enforcement Agency.

COPsync™ has been specifically designed to reduce the significant amount of paperwork found in Law Enforcement by automating the hand-written field reporting process. Officers become more productive, spending less time on administrative tasks, and increasing the amount of time they spend protecting and serving the citizens in their communities.

Traffic Stop Module:
Citations, warnings, motorist assists and other related traffic stops are fast and simple with COPsync™.  A very intuitive interface, designed by officers, has an incredibly simple and logical workflow that replicates the time consuming manual process of a traffic stop.

The officer uses card scanning to capture the information, the computer does all of the tedious work, and the on board printer produces the automated citation or warning.  The information is also IMMEDIATEDLY available and viewable by officers encountering the same individual or vehicle again.  Combining the simplicity of the COPsync™ License Lookup with the Registration Lookup shortens traffic stops, allowing officers to be more efficient and productive.

Simplifying and shortening the traffic stop has another bonus.  In our post 9/11 world, there is a need for vast amounts of intelligence. As a result of improved and more efficient traffic stops, the army of patrol officers across the country can now be major contributors of intelligence data. In yesterday's world, most of the information captured with the manually written traffic stop was not recorded because it was looked at as insignificant misdemeanor activity.  Now, with COPsync™, ALL of that information is captured and available as valuable intelligence – intelligence that can seek out drug lords, human traffickers, and more importantly TERRORISTS.


Be on the Look-Out / Attempt to Locate Module:
COPsync™ has an advanced (BOLO) "Be On the Look Out" module that allows critical information to be rapidly distributed to appropriate personnel. BOLOs may contain vital information relating to Officer Safety, Missing or Endangered People, Attempt to Locate, and/or simple Intelligence notifications. All COPsync™ BOLOs have a standardized easy to read format, and can include pictures of people and/or vehicles.

Once a BOLO is published, it is IMMEDIATELY available to officers on the COPsync™ system. If any officer interacts with an individual or vehicle involved with an active BOLO, the system will automatically display the BOLO and make a BOLO alert sound. COPsync™ displays this notification whether the person is designated as the Subject, an Accomplice, or a Victim in the BOLO.
BOLOs will always be available in COPsync™ history for that vehicle or person, even after it is no longer active.

Since keeping officers in the field informed is crucial to their safety, COPsync™ provides for simple notification via the BOLO notification list on their main Patrol Interface. The officer can then easily view and keep track of pertinent BOLOs.
